What information will we use?

By renting a garage or parking space from Secure Parking and Storage (SPS), we will collect and use information about you and any additional named tenants on your account (“your information”). This information includes your name, home address, telephone number, email address and bank account details used to collect garage rent via Direct Debit.

The information that you provide at the start of your tenancy is necessary so that you can enter into a contract with us to enable you to rent a garage. If you do not provide this information, you will not be able to rent a garage or parking space from SPS.

What information do we store?

In order to fulfil your rental contract, we will need to obtain and store the following information:

  • Full name
  • Postal address
  • Telephone number

We may also require:

  • Email address
  • Alternative contact details
  • Bank account details to set up a Direct Debit
  • Date of birth

How will we use your information?

We will retain your personal information for a number of purposes, as necessary to allow us to carry out our business. Your information will only be used:

  • To provide you with and administer a rental contract (as is necessary for the performance of a contract between you and us and/or as is necessary for our legitimate interests)
  • To contact you regarding your rental contract e.g. for repairs, outstanding rent collection etc (as is necessary for the performance of a contract between you and us and/or as is necessary for our legitimate interests)
  • To process payments relating to your garage/parking space including monthly rental payments and refunds (as is necessary for the performance of a contract between you and us and/or as is necessary for our legitimate interests)

Who will we share your information with?

We work on behalf of Housing Associations (HAs) that will be notified of your rental agreement and therefore may require your:

  • Full name
  • Postal address
  • Telephone number
  • Email address
  • Date of birth

Your details are stored on databases that are managed by external companies. These companies will not process or use your data for any reason, it will just be stored to allow us to fulfil your rental contract.

 

Your details will not be shared with or sold to any third parties for any other purpose.

How long will we keep your information?

Your information will be kept on our main system from the time your tenancy begins until it is ended (either by yourself or SPS). After this, your information will be archived, deleted or anonymised.

Any retention of personal data will be done in compliance with legal and regulatory obligations and with industry standards. These data retention periods are subject to change without further notice as a result of changes to associated law or regulations.

Your rights

Under the Data Protection Act 1998 you have the following rights:

  • To obtain access to, and copies of, the personal information that we hold about you.
  • To require that we cease processing your personal information if the processing is causing you damage or distress.
  • To require us not to send you marketing communications

Once the GDPR comes into force on 25 May 2018, you will also have the following rights

  • To require us to erase your personal information
  • To require us to restrict or object to our data processing activities
  • To receive from us the personal information we hold about you which you have provided to us, in a commonly-used electronic format, including for the purpose of transmitting that personal information to another data controller
  • To require us to correct the personal information we hold about you if it is incorrect or needs to be updated

Please note that these rights may be limited by data protection legislation and we may be entitled to refuse requests where exceptions apply.
